Oral Presentation Guidelines

Speaker Ready Room Hours and Location

Location: Petit Salon B located on Level 4 of the DoubleTree by Hilton Hotel Montreal.

General & Onsite Information

  • All session room screens will be in 16:9 format. Please ensure that your presentation is in 16:9 format.

  • All oral presenters are requested to check-in at the Speaker Ready Room a minimum of 24 hours prior to your scheduled presentation, to review and upload your PowerPoint presentation. Speakers presenting on Monday, June 17 can upload their presentation from 6:30 am on Monday morning.

  • Once you have uploaded your presentation, you may still make changes up to 1 hour before your presentation.

  • If for any reason you are unable to meet this schedule, please inform the ICCR-MCMA 2019 Conference Secretariat at iccr-mcma2019@icsevents.com before the conference.

  • PowerPoint presentations cannot be uploaded in the session rooms.

  • Computers are available for you in the Speaker Ready Room for your final check.

  • Once the presentation has been checked, the technical staff will be responsible for its delivery to the session rooms in preparation for your presentation

  • Unfortunately, Macintosh presentations (i.e. Keynote) cannot be accommodated.

  • Please be in your session room 15 minutes before the start time of the session and check in with the Session Chair so that they are aware that you have arrived. The sessions will start and end strictly on time.

Presentation Preparation

  • The duration of most talks is 10 minutes (8 mins + 2 mins question and answer period). Please stick to this duration unless you have been notified otherwise by the conference organizers. You are requested to prepare a PowerPoint presentation (16:9 format), including a title and author slide.

  • Your presentation must be prepared in PowerPoint2000 or any later PowerPoint Version (MS Windows) and provided on an USB-removable drive in Speaker Ready Room.

  • Use high-contrast lettering, and not too much text per page (max. 10 lines or 15-20 words). Make sure you use high-contrast colors for the best definition of your text. Please be aware that red letters or lines are usually not visible.

  • It is recommended to have a copy of your presentation on hand at the time of the presentation, should a problem occur.

  • Special characters: To avoid any compatibility problems, please do not use special characters (i.e. “, Ö, Ø, ñ, ?, ®, ý, {, etc) to name your presentation or movie files.

Audio Visual (AV) and Seating

Seating will be Theatre Style and all session rooms will be equipped with:

  1. One podium and microphone

  2. LCD projector and screen, 16:9 format

  3. PC Laptop computer (presentations must be PC compatible and NOT Mac)

  4. Wireless PowerPoint Presentation clicker

Poster Presentation Guidelines

Prepare Printed Poster

  • Prepare a printed poster with a maximum poster size of 33.1 in (w) x 46.8 in (h) (841 mm x 1189 mm) – portrait format.

  • Push pins will be provided in the Exhibit Hall to set-up posters.

  • Poster number(s) will be displayed on your poster board. You will receive your poster number in the Final Confirmation Letter via email at least one (1) week prior to the conference.

  • Poster printing service is available. Please see below for more information.

Prepare Poster Slide

  • Prepare a PowerPoint presentation (PPT) or Adobe Reader (PDF) electronic poster file to be included in the ICCR-MCMA 2019 Conference Virtual Library.

  • Submit your presentation via this link.

Mandatory Poster Display and Session Attendance

Poster Presenters must place their poster(s) and be present during their assigned Poster Viewing session.

Any posters not removed by Wednesday evening, June 19, will be discarded by management.

MCMA Poster set-up hours

Thursday, June 20: 07:00 – 08:00

MCMA Poster take-down hours

Friday, June 21: after 17:30

(please note: All MCMA posters will be moved on Thursday evening from the Exhibit Hall to the foyer of the session rooms and room Grand Opera C by the organizers)

Any posters not removed by Friday evening, June 21, will be discarded by management.

Check Schedule Conflict

Check if you have a scheduling conflict with another presentation (see below for Poster Viewing session details). Ask one of your co-authors to stand by your poster if there is a schedule conflict.

Poster Printing Service

ICCR & MCMA are proud to offer the inovative PosterSessionOnline service: a high-quality, printing & delivery service which is available to all poster presenters.

If you take advantage of this service, your poster will be printed to the highest professional standard and you will be able to pick it up from the Registration Area on-site, at your convenience during the meeting. The complete printing, packing and delivery service is subsidized and will cost 75€ + 21%VAT.
